Organize diesel operating records before a sale
Help a reviewer understand volumes, revenue streams and operating arrangements without collapsing the site into one number.
Define the reporting basis
Identify the period covered by your summary and the source used for each measure. Diesel deliveries, dispenser reports, fleet-card settlement records and accounting sales may answer different questions. Reconcile them with your accountant instead of presenting unmatched totals as equivalent.
Distinguish diesel from gasoline and other products. If you report volumes, explain whether figures are actual recorded totals or estimates. Preserve source records and note gaps rather than filling them with assumptions.
Separate the revenue streams
Describe the fuel business independently from store, foodservice, showers, parking, repair, rent and other activities. A site can contain operated departments and third-party tenancies. Say who operates each part and which income belongs to the business being considered for sale.
Index contracts and equipment
List fuel-supply, branding, fleet-processing, equipment and relevant service agreements. Identify the contracting entity and the location of amendments. Have appropriate advisers review any questions about assignment or continuing obligations.
Create an equipment schedule for dispensers, tanks, POS systems and major site systems. Mark ownership and any lease or supplier arrangement. A preliminary schedule helps organize questions; it does not establish title or compliance.
Explain operating exceptions
Include known outages, construction, lane closures and material changes in operating hours. Explain whether a comparison period includes those events. Preserve the original figures and distinguish factual events from any adjustment your accountant may propose.
Keep the first submission proportionate
Start with the corridor or market, property format, business and real-estate scope, your role and preferred timing. Detailed fleet customer information, contracts and bank records should remain outside a general inquiry form. Arrange any later document review and sharing separately.
Start your private owner summary
Share the property format, market and what you are considering. Keep detailed records in your own files until an appropriate review is arranged.
